The Opportunity

We are looking for a full-time IT Coordinator to join our global team. The IT Coordinator will be responsible for helping employees and consultants effectively and efficiently use company computers and software platforms. The IT Coordinator will be the first point of contact for technology platform training and technical support. Our IT Coordinator will spend their day remotely training and supporting SecondMuse employees and consultants in the use of company technology platforms; provisioning and managing company-owned computers, work-from-home equipment, and software licenses; managing the customization and rollout of new technology platforms; and collaborating with global functions, program teams and product specialists to maintain existing platforms.

The ideal candidate has experience providing remote training to end-users on enterprise software platforms including Google Workspace, Asana, Slack and Miro, Zapier and Typeform; researching, troubleshooting and responding to a range of software and hardware issues; and managing software licensing, including the provisioning and deprovisioning of hardware and software. The successful IT Coordinator will be innovative, energetic, human-focused and able to quickly learn and prioritize while being responsive to a high volume of requests.

The IT Coordinator will work with company employees and consultants across North America and Asia-Pacific regions to optimize all technology-related touchpoints of the employee experience. This will necessitate developing a deep understanding of nuanced requirements of each location and program, while working toward general cohesion and consistent technology platforms and work environments for all SecondMuse employees. This role is a full-time position in a distributed office structure. Light domestic and international travel may be required (pending COVID-19). We are hiring for this position into our Portland, OR or Albuquerque, NM locations. This position will report directly to our CFO and work closely with product specialists.

Essential Functions

Primary Functions

  • Provides remote training to and develops and maintains a collection of tutorials and support documentation on company platforms for reference by employees and consultants. Collaborates with the Learning team on company-wide training initiatives.
  • Troubleshoots employee and consultant platform issues, responding to inquiries received via Slack, email, or the company’s ticketing system, all in a timely manner, in accordance with organizational standards. Facilitates interaction between end-users and product specialists when needed.
  • Assists in the management of SecondMuse’s IT infrastructure. Manages inventory of Macbook computers including procurement, provisioning and setup, upgrade schedules, audit and reconciliation, and deprovisioning. Manages software licensing and inventory of software licenses.
  • Supports the administration and maintenance of company-wide technology platforms and automation workflows, including employee onboarding/offboarding and contracting.

Secondary Functions

  • Assists in managing the company’s IT budget, including expense tracking and reporting and contractor engagement.
  • Collaborates with CFO and product specialists to create and improve IT protocols, procedures and standards that optimize employee efficiency while advancing organizational and program team priorities.
  • Evaluates the software and hardware needs of the organization, generally in collaboration with the Global Practices team, and supports in the selection of new technology platforms.
  • Assist CFO with annual strategic planning and budgeting for the IT team.

Requirements

  • Crucial experience: proficient with Google Workspace, Asana the use and configuration of helpdesk/ticketing platform. Helpful experience: Asana, Dashlane, Miro, Typeform, Zapier, Salesforce. Must be technologically savvy, demonstrating the ability to easily adapt to new and unfamiliar technologies, software, and systems.
  • Independent yet collaborative. Ability to work independently to complete tasks and projects while working in a participatory, team-based environment with many stakeholders across different teams, locations, and cultures.
  • Communication. Excellent written and verbal communication skills are crucial in responding to requests and expressing your needs clearly.
  • Critical Thinking. As an IT Coordinator, you must be able to think quickly, anticipating and often solving problems as they arise.
  • Organized. You will need to deal with multiple issues at once. Being able to effectively manage your time while keeping track of progress is a valuable skill to have.
  • Attention to Detail. A qualified IT Coordinator will need to thrive in effectively communicating, organizing and analyzing data and be able to identify mistakes and inefficiencies.
